Who we are

Flight Recall (“Flight Recall”, “we”, “us”) is a preflight documentation service for general aviation pilots, operated by AIRNOSTIC LLC. This policy explains what we collect, why, and what happens to it.

What we collect

Account information. When you sign in with Google we receive your email address, and your name and profile picture if Google provides them. If you sign up with an email and password, we store your email address; passwords are handled by our authentication provider and are never visible to us.

Content you create. Voice recordings, the text transcribed from them, photos, notes, and the aircraft and issue records you log — including the tail number, aircraft type, issue type, location on the aircraft, and the timestamps of each entry.

Basic usage data. Standard server and analytics logs from operating the service, such as request timestamps and pages visited.

How we use it

To create and run your account; to store and display the preflight records you create; to transcribe your voice notes into text; and to detect which aviation issue and which location on the aircraft you described, so we can present that back to you for confirmation or correction.

To be precise about how that detection works: your voice recording is sent to OpenAI’s speech-to-text service to produce a transcript. The transcript is then processed on our own servers by a fixed, deterministic keyword matcher — a lookup against a published list of aviation terms. It is not an AI model, it does not learn from your data, and it does not make judgments about your aircraft. You always see and can edit what it detected.

We do not use your content to train machine learning models, and we do not sell or rent personal data to anyone.

Service providers

We rely on a small number of providers to operate the service:

  • Supabase — database, authentication, and file storage for your recordings and photos.
  • OpenAI — speech-to-text transcription of voice notes. Audio is sent for transcription and the text is returned.
  • Google — optional “Sign in with Google” authentication.
  • Vercel — application hosting and analytics.

These providers process data on our behalf to deliver the service. They are not permitted to use it for their own purposes.

Storage and security

Your records are stored with per-user access control enforced at the database level: a signed-in pilot can read and write only the aircraft they own or have been added to as a member. Photos and voice recordings are kept in private storage and are served only through short-lived links generated after we verify you have access to that aircraft.

If you share an aircraft with another pilot, that pilot can see the entries logged for that aircraft, including yours. No security measure is perfect, and we cannot guarantee absolute security.

Retention and deletion

We keep your content for as long as your account is active, because the value of the product is the history it preserves. You may request deletion of your account and its associated records at any time by emailing us; we will delete them within a reasonable period, except where we are required to retain something by law.

Your choices

You can edit or remove individual issues, photos, and voice notes from within the app. You may request a copy of your data, or its deletion, by contacting us. If you signed in with Google, you can revoke Flight Recall’s access at any time from your Google account settings.

Children's privacy

Flight Recall is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.

Changes to this policy

We may update this policy as the product changes. We will revise the “last updated” date above, and for material changes we will make a reasonable effort to notify you.
